Under the Gas Safety (Installation and Use) Regulations 1998, landlords must arrange an annual gas safety check on gas appliances and flues they own and provide for tenants, using a Gas Safe registered engineer. HSE guidance states that records should be kept for at least two years, existing tenants should receive a copy within 28 days of the check and new tenants should receive a current record before they move in.
The regulations also provide flexibility to carry out a check up to two months before the deadline while retaining the existing renewal date, where the requirements are met. Landlords and agents should keep suitable records showing that the timing rules have been followed.

A landlord gas safety check and a boiler service are not the same job. The safety check is the statutory check required for relevant landlord-provided gas appliances and flues. A boiler service is maintenance carried out in line with the appliance requirements and manufacturer guidance. Landlords often choose to book both together for convenience, but one should not be presented as automatically replacing the other.
Where the customer and tenant are happy to receive records electronically, gas safety records can be supplied digitally, provided the record meets the required information and can be reproduced when needed. The gas safety record should reflect the result of the completed check. If a safety-related defect is identified, the engineer will explain the issue and any action needed. Unsafe gas appliances must not continue to be used contrary to safety guidance. Remedial work can be quoted separately where Heat Tech Scotland is able to carry it out.
